Customising DealCloud to your business needs: a platform manager’s guide

Published on October 23, 2024 by Himanshu Singh and Mohith K M

Introduction

DealCloud is a financial customer relationship management (CRM) and fund management tool that helps financial services enterprises with a variety of assignments, including regulatory compliance, financial transactions and fundraising. The relationship management module enables organisations to centrally record client/lead interactions, define organisational strategies and set up user rights. DealCloud's pipeline management feature enables administrators and platform managers to assist in configuring workflows, dashboards, reports and notifications for team members and business units. Additional features include risk assessment, customised forms, email marketing, analytics and collaboration.

As a platform manager, you know how critical it is to customise DealCloud to meet a company’s specific requirements. To get the most out of the platform and expedite deal-making procedures, customisation is essential. In this blog, we look at how to personalise and enhance DealCloud.

Understand your requirements: Before customising, identify your business needs and goals. Which operations are you looking to automate? What information must you monitor? What are the data sources? For example, web entry, Outlook and Microsoft Excel.

Configure entities and fields: DealCloud enables customisation of the platform to meet your unique requirements with its entity and field settings. This helps create customised entities, fields and relationships to match your business processes.

  • Review and edit object settings that control an object’s behaviour throughout DealCloud

  • Adjust your firm’s entry forms (add new fields, reorder and organise navigation tabs)

  • Choose which lookup fields work best for your firm’s objects when they appear in search results and when searching reference fields on entry forms

  • Create a calculated field and reorder choice field values

  • Enable duplicate management tools to help mitigate the creation of duplicate records

Customise workflows: Workflows ensure consistency and automate tasks. Develop personalised workflows that align with your deal-making procedures and reduce human error.

Build customised pages and dashboards: Customised pages and dashboards provide a personalised user experience. Create pages that display relevant data and dashboards that track key performance indicators. “My DealCloud” is created at the individual level and is used for monitoring user-specific dashboards, interactions, requests, etc.

Word and PowerPoint add-in template reports:

In addition to web portal dashboards, DealCloud enables generating reports using a Word and PowerPoint add-in. Scheduled weekly pipeline reports and PDF tear sheets are both examples of template reports that can be set up and generated ad hoc using data you store on DealCloud. DealCloud enables building report templates and amending their features to meet the needs of different stakeholders.

Manage notifications: When managing your firm’s notifications, this enables you to create a new notification, edit existing notifications, customise email templates, designate recipients, etc. Only users with the notification management user capability can access this content. For example, a notification or reminder email will be sent to the associated member on predefined data and at a predefined time whenever a new deal is formed, if its status changes or if any follow-up is needed.

Leverage integrations: To improve DealCloud's functionality, integrate it with different applications and tools. Using third-party databases such as Pitchbook or Preqin, Microsoft Office plug-ins and the Outlook Add-In: Sync items from Outlook (emails and events), you can automate data synchronising and minimise the need for manual data update.

Document customisations: Maintain a record of your customisations to ensure knowledge sharing and ease of maintenance.

Test and refine: Before implementing your modifications in production, thoroughly test them in a sandbox environment and make the necessary adjustments. Make sure they align with your company’s objectives and workflows.

Leverage DealCloud support: Make use of DealCloud's support resources, including community forums and documentation, to make sure you get the most out of the system.

Stay up to date with DealCloud releases: Stay informed about new DealCloud features and updates to ensure your customisations remain compatible.

Advanced customisation techniques

Use these advanced techniques to enhance your DealCloud customisations:

  • Create unique website components with JavaScript and HTML

  • Use DealCloud's API to integrate with other systems

  • Use Power BI or Tableau to create customised data visualisations

Relationship Scoring: For clients who subscribe to Relationship Scoring, this service passively harvests metadata from Microsoft Exchange emails and events to identify who knows whom and establishes a score for that relationship.

When using the DealCloud mobile app,

  • Enable face/touch ID

  • Scan a business card to create a new contact

  • Access dashboards and details about records on the go

Common customisation mistakes to avoid

Be aware of common pitfalls, such as

  • Over-customising, leading to complexity and maintenance issues

  • Not testing thoroughly, resulting in errors and downtime
